The sign-in book is a partial record

A clipboard on the fence works when the supervisor is standing next to it and the weather is dry. What it produces is a partial log that looks complete, which is worse than none, because you only find the gaps when someone asks about a specific day.

Inductions get skipped at 6:40am

The plasterer’s offsider arrives before anyone from the builder. The real choice on the ground is between losing an hour and letting him start. Whatever the policy says, that choice gets made the same way every time unless the induction can be completed without a supervisor present.

Nobody knows who is on site right now

Residential blocks run unattended for large parts of the week. Deliveries arrive, trades come and go. Without a live record, the answer to who was on site on the 14th is reconstructed from memory and invoices.

Tickets and insurances go unsighted

The induction is the one moment a person is physically in front of you, which makes it the natural point to sight the construction induction card, high risk work licences and currency of insurance. On paper, that moment produces a photocopy in a ute.

The records cannot be produced later

The question arrives months or years afterwards from an insurer, a regulator or a lawyer. An induction that happened and cannot be produced is, in practice, an induction that did not happen.

Most of an induction is the same across your sites. The part that matters is the part that is not. Retyping the common ninety per cent by hand each time is why the site-specific ten per cent ends up copied from the last job.

Six things to look for

Every one of these is testable in a trial on a live job, which is the only demonstration worth watching.

Genuinely site-specific content

The system should make the site-specific section the easy part, not an optional free-text box at the end. If the induction it produces would read identically on any block in the state, the software has automated a formality. Ask to build one for a live job in the trial.

QR sign-in that works from the fence

Arrival is the moment the record is worth capturing. A code on the site sign that a person scans on their own phone, with no app install and no account for a delivery driver, is the only version of sign-in that survives contact with a residential site.

Subcontractor self-service

Subbies should be able to complete the induction, supply their own details and upload their own tickets and insurance certificates without the builder keying anything. Every field the builder has to enter on someone else’s behalf is a field that will be out of date.

Records and reporting you can produce

Who was inducted, when, to which version of which site induction, and who was on site on a given day. Exportable and readable by someone who does not use the software. Test this by asking for a specific past date, not by watching a dashboard demo.

Honest behaviour with poor signal

Residential sites have bad reception, and safety software that quietly fails at the fence produces gaps exactly where the record matters. Ask precisely what happens with no signal, whether data is captured and synced later or simply lost, and test it on a real block rather than in an office.

Connected to the rest of the job

Safety data that lives in its own app is a second login, a second bill and a record separated from the job it belongs to. Inductions, sign-ins, SWMS and toolbox talks are read alongside the diary, the photos and the programme, so ask whether they live with them.

    Can I build a real induction for a real job in the trial

    Not a demo site. Your worst block, with the awkward access and the overhead service, built by you in the trial period. If that is difficult, it will be difficult forever, and the induction will drift back to generic.

    What does a delivery driver actually have to do

    Walk the exact flow. Does an agitator driver need to install an app, create an account, verify an email? Every step is a step that will not happen at 6am, and the delivery is where the highest-consequence movements on a residential site occur.

    What happens when there is no signal

    Ask for a specific answer, not reassurance. Captured and synced when reception returns, or lost. Then test it. This single question separates safety software that works on residential sites from safety software that demonstrates well.

    Show me the record for a specific past date

    Pick a day in the demo data and ask who was on site, what they were inducted to, and which version of the induction it was. If producing that takes a support ticket now, it will take a support ticket when a regulator asks.

    Safety records outlive software subscriptions by years. Ask what you can export, in what format, and whether the induction and sign-in history comes with you. Get the answer before you have three years of records inside the product.

05 / Honest limits

What induction software cannot do

Three limits, and any vendor blurring them is worth being careful with.

It cannot write the site-specific part. The value of an induction is that it names the trench, the overhead service, the crossover and the stair void on this block. No product can generate that from an address, which means the quality of your inductions still depends on someone walking the site and writing it down. What the software can do is make the common ninety per cent reusable so the attention goes to the ten per cent that matters. It cannot discharge the duty. Work health and safety obligations sit with the business under each state's legislation, and software evidences compliance rather than transferring it. A complete digital record of a generic induction is still a generic induction, and it now has a timestamp on it. And it cannot make a briefing land. Scanning a code is not reading, and a crew that has tapped through six screens has not necessarily absorbed anything. The induction still belongs to a conversation on site. The software belongs to the record of it.

One category-wide caution as well. A digital induction is only as current as the person maintaining it. A paper induction that is out of date is obviously a scrappy photocopy; a digital one that is out of date looks exactly as professional as a current one, and gets signed by more people faster. Paper is legally capable of meeting the obligation. The reason builders move off it is not that it is prohibited, it is that it fails in three predictable ways on residential sites. It depends on someone from the builder being present, and residential sites are unattended for much of the week. It produces a partial record that looks complete. And it is hard to retrieve years later, which is exactly when it is asked for. If you run one site at a time, are on it every day, and file diligently, paper genuinely works. The content a residential induction needs is not the same as a commercial one. Site layout and access, where to park on a suburban street, the crossover, and the boundary with the neighbours. The hazards actually present now, the trench, the slab edge, the unguarded stair void, the overhead service at the frontage. The high risk construction work under way and the SWMS that applies. Emergency arrangements including the street address to give an ambulance. Amenities and housekeeping. Site rules, PPE, no-go areas and how to report a hazard or an incident. With most tools, yes, and pre-arrival is generally better. A person who completed the induction the night before arrives already knowing the hazards, rather than reading about them standing in a driveway with a truck behind them. The things that matter are the same either way. The content has to be genuinely specific to that site and current. The person has to acknowledge it. Any tickets or insurances have to be sighted and recorded. And the record has to be retrievable later. A digital induction that is still a generic template has not solved anything, it just fails faster and at greater volume.

No, and the distinction matters when you are comparing quotes. Induction software covers arrival, briefing and the sign-in record. A safety management system in the wider sense also covers SWMS, toolbox talks, hazard and incident reporting, plant and equipment checks, and the WHS management plan on projects where a principal contractor is appointed. Some products do the narrow version well and are priced accordingly, some cover the whole ground, and some construction platforms include safety as one module alongside scheduling and the job record. What decides the right shape is whether you want safety data living with the job or in a separate system with its own login and bill.

Three worth being clear about. It cannot decide what the hazards on your block are. Someone who has stood on the site still has to write that section, and no product can generate it from an address. It does not discharge your duty. Work health and safety duties sit with the business under state legislation, they can be evidenced by software but not transferred to it, and a complete digital record of a bad induction is still a bad induction. And it does not make people safe by itself.
